Student Registration Agreement
For individual students, employer-sponsored students, utility customers, and group/on-site training attendees.
This agreement sets expectations before class starts: accurate registration, attendance, payment, safety, certificates, records, and professional conduct.
1. Agreement to Register
By registering for or attending training provided by Lone Star WaterOps Training LLC, the student and, when applicable, the sponsoring employer or utility agree to this Student Registration Agreement, the Website Terms of Use, the Refund and Cancellation Policy, the Privacy Policy, and any course-specific requirements provided before or during class.
2. Accuracy of Information
· The student must provide accurate name, contact, employer, license, billing, Citizenship status/Resident status, and registration information.
· Certificates and records will normally use the legal name provided at registration. Name corrections may require identity verification or employer confirmation.
· The student must notify the company promptly if registration information changes or if the student cannot attend.
3. Attendance, Participation, and Completion Requirements
· The student must attend the full required instructional time and follow sign-in/sign-out, roster, identity, and participation procedures.
· The student must complete required exercises, discussions, practical demonstrations, quizzes, exams, evaluations, or other checks for understanding when required by the course.
· Late arrival, early departure, extended absence, failure to participate, failure to complete required work, or inability to verify attendance may result in denial of a certificate or CE credit.
· For online or virtual training, the student must use a working device, a stable internet connection, functioning audio/video where required, and remain personally present throughout required instructional time.
· One person may not attend, sign in, complete work, or answer assessment questions for another person.
4. CE Credit, Certificates, and Regulatory Acceptance
A certificate of completion or CE credit is issued only when all course requirements are met, and payment or billing authorization is resolved. The student is responsible for verifying whether a course satisfies the student’s employer, license, renewal, or professional requirement before registration unless the course page or written confirmation expressly states the applicable credit status.
TCEQ or other agency credit depends on the course approval status, attendance verification, instructor/presenter requirements, course documentation, accurate student information, and agency acceptance. Completion of a course does not guarantee license issuance, license renewal, exam passage, promotion, employment, or agency approval.
5. Payment, Employer Sponsorship, and Refunds
· The student or sponsoring organization is responsible for payment according to the invoice, registration page, quote, purchase order, or written agreement.
· If an employer or utility sponsors the student, the student authorizes the company to communicate registration, attendance, completion, payment, and certificate status to that sponsor.
· Refunds, transfers, substitutions, cancellations, weather delays, rescheduling, and no-shows are handled under the Refund and Cancellation Policy or any more specific written course terms.
· Unpaid balances, returned payments, or unresolved billing issues may result in certificate hold, future registration hold, or collection activity to the extent allowed by law.
6. Professional Conduct
Students are expected to behave like water professionals: alert, respectful, safe, honest, and ready to learn. The following conduct may result in removal from class without refund and denial of certificate:
· Harassment, threats, discrimination, bullying, abusive language, or disruptive behavior.
· Cheating, falsifying attendance, impersonation, sharing answers, or submitting false information.
· Unsafe acts, refusal to follow safety instructions, horseplay, impairment, possession of prohibited items, or violation of host-site rules.
· Recording, live-streaming, copying, distributing, or commercially using course materials without written permission.
· Unauthorized access to restricted areas, equipment, plant controls, utility records, chemicals, or security-sensitive information.
7. Safety and Site Rules
For hands-on, field, laboratory, utility, or on-site training, the student must follow all instructor directions, host-site rules, posted notices, PPE requirements, traffic control, confined-space restrictions, lockout/tag-out restrictions, chemical safety rules, and emergency instructions.
The student must immediately report unsafe conditions, injuries, near misses, chemical exposures, equipment problems, or medical concerns to the instructor or designated site contact. The company may remove a student from a practical activity if safety, fitness-for-duty, PPE, or site-access concerns exist.
8. Course Materials and Intellectual Property
Course materials are provided for the student’s personal learning and job reference. Unless written permission is granted, the student may not copy, sell, post, upload, distribute, teach from, record, livestream, modify, remove branding from, or use the materials to provide training to others.
9. Privacy, Records, and Information Sharing
The student acknowledges that the company may collect and retain registration information, attendance records, assessment records, certificates, payment information, communications, evaluations, and related training records as described in the Privacy Policy.
The student authorizes the company to share necessary information with regulators, licensing agencies, employers, utility sponsors, workforce partners, instructors, contractors, payment processors, auditors, and service providers when reasonably necessary for training delivery, CE documentation, records, billing, compliance, or customer service.
10. Photo, Video, and Testimonial Release
The following release is optional unless a separate written media release is required for a specific event. Check one:
· I allow Lone Star WaterOps Training LLC to use my photo, video, testimonial, or class participation image for lawful business, training, website, social media, and marketing purposes without additional compensation.
· I do not allow public marketing use of my identifiable photo, video, or testimonial unless I later give written permission.
Even when the student does not grant marketing permission, the company may retain internal training, attendance, security, or documentation records as reasonably necessary.
11. Assumption of Risk and Limitation of Liability
Training may involve classroom discussion, examples from field operations, equipment observation, demonstrations, plant or utility environments, field hazards, chemicals, traffic areas, uneven walking surfaces, noise, heat, weather, and other risks, depending on the course. The student agrees to follow safety instructions and accepts responsibility for personal conduct and compliance with site rules.
To the fullest extent allowed by law, the company is not liable for indirect, consequential, special, punitive, lost-wage, lost-promotion, regulatory, licensing, employment, travel, lodging, or operational damages related to training registration, attendance, schedule changes, use of materials, or certificate decisions.

Refund and Cancellation Policy
For public course registrations, on-site utility training, group enrollments, memberships, and related training services.
This policy is written to be clear before money changes hands. Training seats, instructors, rooms, travel, materials, and CE documentation take planning. The goal is fair treatment for students and utilities, without turning the schedule into a rodeo-goat chase.

1. Scope
This Refund and Cancellation Policy applies to course registrations, CE training, on-site utility training, group enrollments, custom training, membership or subscription offerings if made available, digital materials, replacement certificates, and related services sold by Lone Star WaterOps Training LLC.
A written quote, invoice, purchase order, utility service agreement, or course page may set different terms for a specific event. If so, the more specific written terms will determine control for that event.
2. Payment and Seat Reservation
· A seat is reserved when payment is received or when a utility-approved purchase order, written authorization, or signed agreement is accepted.
· Unpaid registrations may be released if class capacity is limited or if payment is not received by the stated deadline.
· Students are responsible for using accurate contact information so they receive confirmations, schedule changes, and certificate instructions.
3. Student Cancellation - Public Courses
Unless the course page states different terms, refunds and credits for student cancellations are handled as follows:
7 or more business days before class
Full refund or one-time transfer/credit
Payment processor fees may be non-refundable when not returned by the processor.
3 to 6 business days before class
50% refund or one-time transfer/credit
Transfer/credit may be used for a comparable course within 12 months, subject to availability.
No-show or partial attendance
No refund
No certificate if incomplete.
*Cancellations must be submitted in writing via email to martin.rodriguez@lonestarwateropstraining.com. Verbal notice alone is not enough.
4. Substitutions and Transfers
· A registered student may request to substitute another qualified student before the course begins, subject to seat availability, prerequisite requirements, customer authorization, and administrative approval.
· A transfer or credit is normally limited to one transfer per registration and must be used within 12 months unless a written agreement states otherwise.
· Transferred seats, credits, promotional registrations, scholarship seats, and discounted registrations may be non-refundable unless the written offer states otherwise.
5. On-Site Utility Training and Group Events
On-site and group training usually require instructor scheduling, travel planning, materials, rosters, facility coordination, and customer-specific preparation. Unless the quote or written agreement states different terms, the following applies:
· Cancellation 10 or more business days before the event: refund or credit of prepaid course fees, less non-refundable expenses already incurred or committed.
· Cancellation 5 to 9 business days before the event: 50% refund or credit of course fees, less non-refundable expenses already incurred or committed.
· Cancellation less than 5 business days before the event: no refund, but rescheduling may be allowed at company’s discretion if instructor availability permits.
· Travel, lodging, printed materials, venue fees, custom development, special equipment, and third-party costs may be non-refundable once incurred or committed.
· If a utility cancels due to emergency operations, regulatory incident, severe weather, power outage, or public-safety concern, we will make a good-faith effort to reschedule and apply available credits fairly.
6. Company Cancellation, Rescheduling, or Instructor Emergency
Lone Star WaterOps Training LLC may cancel, delay, move, or reschedule a course due to low enrollment, instructor illness, travel disruption, severe weather, facility issues, equipment failure, utility emergency, safety concern, regulatory issue, or other circumstances outside reasonable control.
· If we cancel a paid public course and do not offer a reasonable reschedule option, students may choose a refund or course credit.
· If we reschedule a course and the new date does not work for the student, the student may request a transfer, credit, or refund according to the circumstances and any written event terms.
· We are not responsible for student travel, lodging, overtime, wages, mileage, per diem, lost time, or other indirect costs unless a signed written agreement expressly says otherwise.
7. Weather, Emergencies, and Safety Interruptions
Safety comes first. If weather, road conditions, plant conditions, power loss, chemical incident, active emergency, public health order, or other safety concern affects a class, we may pause, move, modify, or reschedule the training. If credit requirements cannot be met, the company will determine whether a make-up session, transfer, or partial credit option is appropriate.
8. Digital Materials, Downloads, and Recorded Content
Digital materials, downloads, templates, recorded content, and online access fees are generally non-refundable after access is granted, a file is delivered, or a download link is opened, unless the material is materially defective. We cannot reasonably correct the issue.
9. Memberships, Subscriptions, and Promotional Offers
· Membership or subscription fees are non-refundable after the membership period begins unless the written offer states otherwise.
· Unused benefits, missed member events, expired credits, and promotional discounts have no cash value unless required by law or stated in the offer.
· Discount codes, scholarships, donated seats, and promotional registrations may have separate terms and may not be transferable or refundable.
10. Chargebacks and Payment Disputes
Customers should contact us first about billing, refund, or duplicate payment concerns so we can review and fix legitimate issues. Filing an improper chargeback after attending a course, receiving materials, or using services may result in collection activity, certificate hold, account suspension, or denial of future registration to the extent allowed by law.
11. Refund Processing
· Approved refunds are usually processed to the original payment method within 7 to 10 business days after approval, although banks and processors may take longer to post funds.
· Refunds to a utility, employer, or sponsoring organization may be issued to the original payer instead of the individual attendee.
· Processor fees, rush fees, custom development fees, printed material fees, travel costs, lodging, venue fees, and other committed expenses may be deducted when applicable and allowed.

Privacy Policy

1. Acceptance of Terms

3. Training, CE Credit, and Regulatory Status
· A course is represented as TCEQ-approved, CE-credit eligible, or license-related only when the course page, invoice, agenda, or written confirmation specifically says so.
· Students must satisfy all stated attendance, participation, identity, assessment, sign-in/sign-out, and documentation requirements to receive a certificate or reported credit.
· We may deny or withhold a certificate when attendance cannot be verified, payment is unresolved, required work is incomplete, misconduct occurs, or required information is missing.
· Training is educational. It does not replace employer site-specific procedures, manufacturer instructions, engineering judgment, legal advice, safety rules, permits, utility policies, or applicable federal, state, and local requirements.
· Completion of a course does not guarantee employment, promotion, licensure, exam passage, regulatory approval, or acceptance of credit by an agency, employer, association, or licensing authority unless required conditions are met and the authority accepts the credit.
4. Student and User Responsibilities
· Provide accurate registration, billing, employer, license, and contact information.
· Use your own legal name and do not register, test, sign in, or submit work for another person.
· Attend the full required time, participate professionally, and follow instructor directions, site rules, safety expectations, and course procedures.
· Protect login information, registration confirmations, certificates, and course materials from unauthorized access or misuse.
· Notify us promptly if registration information, billing information, employer sponsorship, or attendance status changes.
5. Accounts, Forms, and Electronic Communications
You may be asked to submit information through website forms, email, payment links, learning platforms, or third-party tools. You agree that information submitted electronically is treated as information submitted in writing.
